Welcome to the CVSRA Ultimate Cup Tournament page for referees! We appreciate everyone's availability and flexibility making the tournament a success. Your first point of contact during the weekend is the referee coordinator for the site you are scheduled at for the day. Please check the weather and prepare accordingly. Have a safe and fun tournament!

Before Gameday 

 

What if you can’t do an accepted assignment?

As soon as you know cannot do an accepted assignment, email the assignor who assigned you to let them know – put “TURNBACK” as the subject header in the email and the date of the assignment helps.

Check your Arbiter profile contact info?

Make sure your weekend cell number is listed in your arbiter profile so we can contact you if necessary. Updates may be sent out via text first, so make sure you are signed up to receive the messages.

What do I need to do as a standby referee?

Stand By referees are critical positions and responsibilities are outlined here. Please thoroughly review the standby responsibilities.

Who do I contact with questions about my assignment?

You can see who assigned the game with their contact information when you open the game in Arbiter. The assignor is listed below the officiating crew members.

How do I find the fields?

To get directions to the field click on the field name on your Arbiter assignment or follow this link for addresses and field maps for sites.

River City Fields #10 - #13 are in the back- parking is back there- drive straight through the complex passing all fields on your left and head toward the trees. The fields will come up on your right.

IMPORTANT: You may still show a 7am event on your schedule. You DO NOT have to be at the fields at 7am.


Where should I find last minute schedule changes or updates?

Check Arbiter late every night AND early every morning. We recommend you doing this as it is an invaluable communication tool for us when last minute changes need to be made. Read the messages on the front for behind the scene information each day.

Where can I find the rules of competition?

What if I am running late or will not make it?

If you experience an emergency during the weekend between Friday 5PM – Sunday night, contact your Referee Site Coordinator for the specific day you have the conflict on.

If and only if you can NOT reach the Referee Site Coordinator, text (Preferred) or call Beth’s voice mail at 804-991-0733; please speak slowly, clearly and make sure you leave a number where she can reach you – And your FULL name after every text/call smile.

For example, should you get hurt on Saturday working games at Rivercity, and are scheduled Sunday for games at Dorey Park, you need to call the Dorey Park Coordinator that you will not be there Sunday – NOT the Rivercity coordinator (unless of course it affects additional games you have there that day – then please contact them both).

What if it is raining, snowing, or other ugly weather?

Do NOT assume matches are cancelled even if a field is closed. When this occurs, we send a mass email notifying you that we are making the updates in arbiter, and then we notify you when we are done. At this point you need to follow the schedule as it is in arbiter each day (often we are making the updates well into the early morning hours). To keep carpools together, and as games may be rescheduled to different time slots, this is not an easy process and requires a lot of thought and unscrambling on our part. Please know in this situation we are doing everything we can to keep your schedule as similar to what you were originally expecting.


When you arrive at the site?

REPORT TO THE REFEREE SITE COORDINATOR 30-45 MINS BEFORE YOUR FIRST MATCH EACH DAY.

Referees not checked in 20 minutes before their first match are subject to being replaced for that match. Plan for the inevitable delays that happen. Call your coordinator [INSERT LINK TO COORDINATOR CONTACTS] if you are running late! Communicate.

When you check iN you will confirm your schedule, pick up any match cards for the games for which you are the center referee, and meet your crew. Crews are asked to go to the field together when possible (usually the first game of your set).

What is the proper uniform?

Dress PROFESSIONALLY; shirts tucked in, proper socks pulled up. Bring jerseys for cold and warm weather, every color you have. Black shirts only under jerseys if needed (no hooded sweatshirts), all black shorts, black ear warmers and gloves in case of cold. No long pants will be worn while working the matches.

Expect the unexpected; come prepared for all kinds of weather. Unless you hear otherwise, directly from the Assignors or Referee Site Coordinators, head to the sites for your matches. The weather is very unpredictable so bring sun screen and gloves.

What food and drink is provided?

Bring water and/or a sports drink with you, water may or may not be provided at the field.

Lunch will be delivered to the fields by 11:30 each day. ONLY 1 Sandwich Package per official is provided, along with chips and desert (1 each), but there are food vendors at most sites. IF you have any special dietary needs, or restrictions, you may want to bring your own food, as these are complimentary meals provided for a large number of officials. There are choices for sure, but limited.

Who makes tournament decisions?

Tournament decisions are only made by the Tournament Director. Utilize the Referee Coordinator to seek out the Tournament Site Coordinator who can address any concerns you may have regarding field safety.

  • Tournament decisions include (but are not limited to) the following:
  • Field closures especially due to inclement weather!
  • Changing game half lengths or ending games earlier than scheduled.
  • Rescheduling games
  • Moving games to different fields

What are the duties of the center referee?

  • Completion of game cards that you pick up from the referee site coordinator.
  • Complete your match reports in Arbiter BEFORE you leave the site to ensure you and your crew get paid.
  • Ask the referee coordinator for any send off reports that need to be filled out.
  • Keep the games on time, be firm with the teams at keeping half time at the designated length in the rules.
  • Use the official tournament ball
    • DO NOT leave the game ball unattended during half time, passing it off ONLY to the center referee on the next game at the end of the match OR the referee coordinator.
    • I know tracking the balls is not always easy – just be aware of it and do the best you can.
    • Last center of the day returns the ball to the referee site coordinator.

Getting Paid?

 

How do we check out?

For payroll purposes we need everyone to check out with the referee coordinator when leaving for the day. Specific instructions on what you will need to do at that time will be emailed around in a separate email.

Where do I report my games?

Everyone submits match reports (OMR’s) through the reports in Arbiter. You can enter the score, hit save, and be done if:

  1. There were no crew changes from what Arbiter has listed.
  2. There were no cards or reportable incidents.

What if there were crew changes?

Crew Change/Missing form – When Arbiter is showing a different official on the crew other than who actually did the match (or was missing crew member and someone stepped in at match time) after entering the score of the game:

a) Set the scroll bar(s) next to the missing official’s name and/or open position to “No Show”.

b) Click on the name of the form in the Arbiter report to get to the crew change form you need to fill out. EVEN/Especially if you as the center/head referee according to arbiter failed to be there- it is your responsibility to let us know. This gets emailed to payroll so they know to how to update arbiter correctly for pay. Fill it out and hit submit.

c) You MUST check the box in front of the report’s name in the form section so we know the match needs to be updated. This will turn the “R” yellow in Arbiter and flag the match as needing updating by Payroll.

d) Hit the “save” button

What if there were cards(s)?

Card Report – Sendoff report forms are available from the referee site coordinator and MUST be completed before leaving the site. If you have any cautions in a match, click on the form name to fill it out and submit. Once it is filled out, hit “Save” on the Arbiter report.

Do NOT check the box in front of this form name in Arbiter- as this turns the report “R” to yellow -- which requires Payroll resolve it so you get paid.

What is the comments section for?

Comments should only be used for critical documentation not captured elsewhere such as notes related to a signficant injury or something that is a MUST read for Payroll and available to note elsewhere.

When will I get paid?

Pay for this tournament is expected no later than March 25.

To be paid you must: -

  1. Have an arbiterpay account (get one at www.arbiterpay.com) AND have it linked to your arbitersports account.Directions on how to do this are on a message on the front of arbiter- scroll down, smile.
  2. Make sure your home address and SSN are accurate in Arbiter.
  3. Please direct questions about your pay to payroll@cvsra.com.
